How rental inventory works in Event Inflow

1. Add your warehouses and equipment. Record how many of each item you own at each warehouse or storage unit with Update inventory.
2. Choose where each event's gear comes from. Each event's quote lists the equipment it needs. Assign the event to the warehouse it ships from, and Event Inflow counts that equipment as in use on that date.
3. Check your warnings. The Warnings tab lists every shortage by item, warehouse, and date, soonest first. Turn on Include quotes to catch conflicts from quotes that haven't booked yet.

See every shortage before event day

Event Inflow's Warnings tab shows how many upcoming events you have, how many equipment shortages they create, and which warehouses have spare equipment. Each shortage tells you how many more you need and by when, like "13 more needed by 10/24."

On each event, the equipment check also counts every other event that day, including events that are quoted but not yet booked.

Know what's spare, allocated, or short in every warehouse

Event Inflow's Warehouse stock view compares what you own with what you need on your busiest day. Each item is marked as spare, fully allocated (every one is booked), or short, and you can filter to only shortages or only surpluses.

Load lists for every driver

Event Inflow's Load vehicles view builds a load list for each driver, grouped by warehouse. It lists the equipment for every event a driver is delivering to, with same-day events added together. When gear comes back from one event in time for the next, Event Inflow counts it once, so you don't pull it twice. Each driver's list comes from the delivery shifts they're assigned on the staff schedule.

Book the gear and the crew together

In Event Inflow, a rental item can include the staff who come with it, like a blackjack table with its dealer. When the client books the quote, Event Inflow counts the equipment as in use and creates the staff positions at the same time. Event staffing explains how those positions become shifts.
